Introduction
Welcome to FeedMail (the “Service”, “we”, “our” or “us”). We provide a feedback collection and insights platform that helps businesses collect customer feedback, manage branches and staff, and generate analytics. This Privacy Policy explains what information we collect, how we use it, who we share it with, and your rights.
What information we collect
Account & registration data
When you register we collect information such as your name, business name, email address, phone number, password (securely hashed), and organization details.
Customer feedback data
Your customers' responses to feedback forms (ratings, comments, worker selections and any optional contact information they choose to provide) are collected and stored so they can be reviewed in your dashboard and used to generate insights.
Payment & billing
We use a third party payment processor (Paystack) to handle payments. We do not store full card details on our servers. We may store billing records, transaction references, plan names and related metadata for accounting and support purposes.
Usage & technical data
We collect technical data such as IP addresses, device and browser information, pages visited, and logs required to operate and secure the Service.
Cookies & tracking
We use cookies and similar technologies for authentication, to remember preferences, analyze usage, and support advertising/marketing when the user opts in. You can control cookies through your browser settings; note some cookies are necessary for the Service to work.
How we use your information
- To provide and operate the Service, including authentication.
- To store and present feedback for your branches and teams.
- To process payments, refunds, and billing-related communication.
- To improve and personalize the Service (product analytics and A/B testing).
- To generate aggregated and anonymized insights we may use to improve our product or in marketing materials.
- To communicate important updates, security notices, and support messages.
Sharing & disclosure
We do not sell your personal information. We may share data in the following limited circumstances:
- Service providers: third parties that perform services on our behalf (payment processors, email delivery, hosting, analytics). We require them to maintain the confidentiality of your data.
- Business transfers: if we merge with or are acquired, assets (including data) may be transferred. We will notify users where required by law.
- Legal compliance: when required by law, to comply with a subpoena or similar legal process, or to protect our rights.
- Aggregated data: we may share anonymized, aggregated usage statistics with partners — this data cannot be used to identify an individual user or customer.
Payments & recurring billing
We integrate with Paystack for billing. When you subscribe we create the necessary billing records and (for recurring billing) subscriptions via Paystack's API. Card details are handled by Paystack; we only store the references and metadata necessary for billing, refunds and support.
Data retention
We retain personal data as long as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. If you request deletion, we will remove your personal data subject to legal/operational limits (for example, transaction records required for accounting).
Your rights
Subject to local law, you may have rights to access, correct, or delete personal data about you. To exercise those rights, contact us at the address below. We will verify requests to protect privacy and security.
Security
We implement reasonable organizational, technical and administrative safeguards to protect data. However, no internet service is completely secure — we cannot guarantee absolute security, and we are not liable for security breaches outside our control.
Children
Our Service is not directed at children under 16. We do not knowingly collect personal information from children under 16. If you believe we have collected information about a child, please contact us and we will take steps to delete the information.
International transfers
Our systems and service providers may process or store your data in countries outside your country of residence. By using the Service you consent to such transfers, and we use appropriate safeguards required by law where applicable.
Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes we will notify users via the Service or email and update the “Last updated” date above.
